The hall is free, the price fits, the venue is liked — and the party happens somewhere else. Almost always for one of three reasons.

Enquiries come in the evening and at the weekend, by phone and over WhatsApp — exactly when there is a banquet running in your hall. The customer writes to three venues in a row and pays the deposit to the one that answered first. By Monday there is nobody left to answer.

Clashing bookings and double dates

The date is held in three places at once: in the paper book, in the managers' chat and in someone's head. The double booking surfaces a week before the event — and one of the two customers has to be called and turned away.

Agreements are recorded nowhere

The menu was changed by voice, the surcharge for the late finish discussed in a chat, the decoration agreed with a different colleague. On the day nobody can show what was actually agreed — and the argument always ends with the venue giving way.

The event is built step by step

The customer follows a link and chooses the date, menu, decoration and seating themselves. The venue sees the choice at the same moment and does not recalculate the quote by hand.

Every “but we agreed” has a date, an author and an amount. The argument ends with a reference to a version, not with a manager's memory.

The amounts are the venue's quote to its own customer — not ZEMCHENKO's prices.

Venue names, guests, dates and sums in the examples are invented.

Returning guests

A hundred future customers sit at every event

A hundred and twenty guests at a wedding are a hundred and twenty people with their own anniversaries, christenings and company parties ahead of them. Today they go home nameless: the venue only knows the customer.

The system collects the guests' contacts with their consent and brings them back with an occasion and a date. A regular customer stops being an accident.

01A QR card on every table

A table tent on the table, the same code in the menu and on the screen in the hall. It leads to the page of that event, not to the general website: the guest sees pictures of their own evening, not an advert.

02The guest leaves the contact themselves

One screen: name, email and — if they wish — the date of their own occasion. A DSGVO consent tick, unsubscribe in one click. In return comes what was promised: pictures from the evening, the hall's menu and the free dates.

03The system brings them back with an occasion

Two months before their date the guest appears in the working list with the occasion and the free Saturdays. The message goes out on your button, not as an automatic blind mailshot.

The code is printed for the single event. Guests of different evenings do not mix in the database.

A search for companies and organisers to your brief: region, type of event, size of hall. What comes out is a list with contact persons.

The assistant answers an incoming enquiry at once and to the point: whether the date is free, what the hall includes, when it can be viewed. While the customer is still choosing.

Evening, Saturday, a banquet in the hall — the enquiry is recorded all the same and the date set as an option, instead of being forgotten until Monday.
